How to Select a Security Level/Permissions for a Project

Setting a security level for your project helps you to protect sensitive information by ensuring that only the specific groups and users will be able to view your project’s content.

To define the permissions for your project: 

  1. Go to your project

  2. Fill out all the Project Overview information

  3. Upload project documents

  4. Click on “Publish” or “Republish” in the top right corner of the project view

A new window will pop up.

  1. Add or edit the project description

  2. Click “Next” in the bottom right corner of the window

The next screen will ask you to choose who will be able to view your project – this is where you define permissions for your project.

  1. Start typing in a username, email, or user group

  2. Select your audience from the dropdown

You can select one or more individual users, or you can choose a group

  1. Click on “Publish” in the bottom right corner of the window once you have selected your audience

Another window will pop up prompting you to share your research with other users.

  1. Select the users to notify about your published research

  2. Enter a message, if desired

  3. Click “Share” in the bottom right corner of the window

The selected users will receive an automatic notification about your published research. They will also be able to view your research in Search.

Alternatively, you can share a system-generated link by clicking "Copy Link" in the bottom left corner of the window. Then you can paste the link to share it via another medium, e.g. Teams or email.

If you do not want to share the project, just click “Cancel“ in the bottom right corner of the window.

 

Insider Tips: 

  • Select “Everyone” if you want your entire user community to be able to see your research

  • You can update the security level by republishing your project and selecting a new audience
