Publishing and unpublishing Knowledge Zones directly from the inbox streamlines content management, giving you effortless control over visibility and ensuring a smooth and easy publishing process

To publish a Knowledge Zone from the inbox:
1. Navigate to the Knowledge app from the left-hand side navigation bar
2. Switching to the curate view from the top of the page
3. Scroll to find your Knowledge Zone or click the Search iconin the top right corner of the inbox to look for it
4. Click on the Three-Dot menuon the left side from your Knowledge Zone title
5. Click “Publish“
A “Publish Knowledge Zone“ window will automatically open.
6. Click on the “Thumbnail“ placeholder to add a thumbnail image from your desktop
7. Update the Title field if needed to give your Knowledge Zone a descriptive name
8. Add or update description
9. Select tags from the different Classification dropdown menus
10. Click “Next” in the top right corner of the window
In the next view you can choose an audience for your Knowledge Zone.
11. Start typing a name or group in the “Viewers” field to define who will have access to your published Knowledge Zone
12. Select the name or user group by clicking on it
13. Type and select “Everyone” if you want everyone on the platform to have access to it
14. Click “Next”
You will be prompted to select the users or user groups who should be notified that you have published new content.
15. Select if you want to notify the viewers that your Knowledge Zone is published
16. Click “Publish“
Your Knowledge Zone will be published to your selected audience and will be available in the Knowledge app and Search on their platforms.
To unpublish a Knowledge Zone from the inbox:
1. Scroll to find your Knowledge Zone or click the Search iconin the top right corner of the inbox to look for it
2. Click on the Three-Dot menuon the left side from your Knowledge Zone title
3. Click “Unpublish“
Your Knowledge Zone will be automatically unpublished.
Insider Tip:
- Only internal experts with special platform permissions can publish and unpublished Knowledge Zones
- Adding a relevant thumbnail image to your Knowledge Zone will encourage your colleagues to open it, once it is published on the platform
- Be as descriptive as you can when filling out any text fields (title, description, and Knowledge Zone content) because they are indexed by the search engine
- Classification tags correspond with Search filters, helping ensure that people can find your Knowledge Zone
